You will receive an email of your student's Crimson Work-study eligibility within 5 business days. Included in that email will be the index numbers you will need to CORRECTLY complete the E-HIRE. In order to prevent costly mistakes at the end of the fiscal year, PLEASE DO NOT HIRE THE STUDENT until you have received an approval/disapproval email from the Crimson Scholar Coordinator with the REQUIRED E-Hire index numbers. DEPARTMENT'S RESPONSIBILITY
The hiring department:
* Must start using the award within one month of this request. Otherwise, the award will be removed by the Financial Aid Office
* Understands that students who earn any funds as Crimson In-State or Crimson Out-of-State will not be eligible to receive Federal or State work-study awards for the duration of the Academic year (Fall, Spring, Summer I and Summer II) or vice-versa.
* Must terminate employment through the payroll office when the student leaves.
* Will be responsible to pay from departmental funds at 100% in the event that the student loses Crimson Scholar eligibility or expends Crimson work-study monies.
* Must submit another "CRIMSON SCHOLAR WORK-STUDY REQUEST" in order to increase award or hire for the summer.
In the event that the student has been terminated before the end of the fiscal year, the hiring department should contact the Financial Aid Office via e-mail to Valeria Olsson (v_alexia@nmsu.edu) and Yvonne Flores (yflores@nmsu.edu).
STUDENT CERTIFICATION
The hiring department must notify the student of the following:
I understand that I must meet the following Financial Aid Office eligibility criteria to apply for a Crimson Scholar Work-study award:
* Have filed a Free Application for Federal Student Aid (FAFSA). Not necessary for foreign students.
* Must be enrolled in at least 6 credits during Fall and Spring OR at least 6 credits total for summer sessions.
* Must maintain a 3.5 minimum cumulative GPA.
* Must comply with Satisfactory Academic Progress rules for work-study employment.
* Must monitor earnings so he/she do not exceed the award.
* Must comply with employer's dress code and general rules of conduct.
* Must maintain accurate records of hours worked and submit them in a timely manner.
* Can only work a maximum of 20 hours per week during Fall/Spring (up to 40 hrs during summer).
* Can ONLY use the award under this hiring department.
I acknowledge that the student has been advised of his/her responsibilities and the Department Representative has read and accepted the above conditions, and that the student has accepted to be part of the Crimson Scholars Work-Study Program.
